Time Increments in Calendar and Online Appointment Booking

We realize you may want to plan your day minute by minute and that appointment duration can range from 5 minutes to a whole day. In order to satisfy your and your business’s needs, we have added a useful feature that allows you to divide the working hours in your Calendar into 5, 10, 15, 20, 30 and 60 minutes increments. This enables you to fill in and plan even the smallest detail of your day.

In the “Scheduling options” in your Bookappo account, you can also find an option to set time increments on your booking website at which your clients can book appointments. You can select the same time increments as in the calendar (recommended) or choose other times ranging from 5 minutes to 8 hours. This on the other hand, allows you to be in control when your clients can book appointments and how long the appointments will be.

Calendar Time Increments

1. Go to your calendar and notice the arrow button in the top left corner.

2. Click on the arrow button. A small menu with time increment options will appear. Choose which one is the most suitable for your needs. We used a 20 minute increment as an example.

After clicking on your chosen option, the calendar will automatically update the newest setting. Each hour in your calendar will now be divided into three 20 minute increments as shown on the picture.

Online Appointment Booking Time Increments

1. To set the time increments on your appointment booking website, go to Settings -> Appointments -> Scheduling Options. Once you are there, notice the fourth option.

2. Selecting “20 mins” will divide the hours at which your clients can book appointments online into 20 minutes increments.

3. Your Booking Website will show the following times: 8:00 AM, 8:20 AM, 8:40 AM, 9:00 AM etc.

Appointment, Personal Event and Personal note in your Calendar.

Your calendar serves as a great scheduling software tool to easily see appointments, organize your staff and manage your business. Although showing appointments is its primary function, it allows you much more. It enables you to schedule your own events for any particular day or edit the existing ones.

Appointment

A classic scheduled appointment that was either created online by a client using your mini-website or by you or your staff in the calendar. It can either be a single appointment or it can be set as a recurring one.

Personal Event

This is created by you or a staff member in the calendar. Personal Time feature enables you or your staff member to easily schedule absences, lunch breakes or any other types of personal time. Same as the appointment, you can also set is as a recurring event.

NOTE: The mini-website of your business will update to prevent your clients from booking an appointment in time of your Personal time.

Personal Note

You can also add a Personal note to your calendar. You can set it in the Personal Time menu. It will appear under the date in the calendar. It is clearly visible and can serve for example as a reminder. This feature is only for you or the staff member and does not prevent clients from booking appointments online.

Appointment Symbols in your Scheduling Calendar

Your appointment scheduling calendar can sometimes be fully booked. To help you recognize different types of appointments and their details quickly and easily, Bookappo Calendar uses a system of symbols shown within the appointment slot.

Appointment Mini Icons

Appointment Message This symbol indicates that your client wrote you a Note with details, requests or any other message.
Online Booked Appointment This is the online booked appointment symbol. It will appear always when the appointment was booked online by your clients.
New Client Icon This symbol indicates a newly registered client, that hasn’t been registered  in your database yet.
No Show Icon This symbol is used for marking the appointment as ‘No-Show’ in case your client didn’t come. You can do it by clicking on the appointment and selecting ‘Apply no-show’.

NOTE: Symbols can appear individually, depending on the appointment or client details and form of booking.

 

Online Appointment Booking and Appointment Approval

For the online appointment booking for your clients, Bookappo uses a feature called mini-website. You must complete the setup of your account to enable online booking. Your clients will be redirected to your custom mini-website, when they click on the BookNow button. Mini-website updates every time you modify your working hours, online booking time slot intervals or create apersonal time slot. When your client fills in all necessary details of the appointment, you will be notified by email.  In case you have enabled manual appointment approval, you can see all details in overview screen and accept or deny this online booked appointment.
